Scope and accountability
map AI activities and decision authority. Record who can approve deployment, accept residual risk, stop a use and authorise its restart.
ISO/IEC 42001 helps organisations establish an AI management system around the AI they develop, provide or use. For an Indian business, the starting point is a clear account of those activities: who approves them, whose interests they affect and what evidence supports continued operation. CyberVantage360 can discuss an implementation engagement around that scope and your commercial priorities.
A customer-facing product, an internal coding assistant and a model operated for an overseas group company involve different decisions. Start with an inventory that records the intended use, accountable business owner, affected people, data sources, suppliers and deployment locations. Include purchased AI embedded in ordinary software where it influences important outcomes.
For a global capability centre, identify which decisions belong to the Indian operation and which remain with headquarters. A local team might prepare evaluation data and monitor production while another entity approves model releases. The management-system boundary should explain that arrangement and its dependencies. A certificate for one operation should never suggest coverage of every group company or customer deployment.
ISO’s description of ISO/IEC 42001:2023 identifies it as an AI management-system standard. Use the programme to organise AI governance across the agreed activities, with technical evaluation appropriate to each use.
India has enacted the Digital Personal Data Protection Act, 2023. The November 2025 commencement notification stages different provisions at publication, one year and eighteen months. As of 12 October 2026, many substantive processing duties are still awaiting commencement. Check each relevant provision and effective date alongside the final 2025 Rules and corrigendum when planning implementation. References: Official commencement notification; MeitY rules and related documents.
Maintain a dated legal obligations register for the actual processing and business sector. Allocate responsibility for updates and distinguish obligations currently applicable from preparation for future commencement. ISO 42001 certification does not decide the lawful use of a dataset or establish compliance with Indian law. Those conclusions require a separate assessment of the facts and applicable provisions.
An implementation proposal should connect deliverables to the people who will use them. A document is useful when it changes how a release, purchase or exception is handled. Agree acceptance criteria before work begins.

examine plausible failures and their consequences. Consider unreliable outputs, unequal performance, inappropriate disclosure and excessive reliance by users, then decide how each material concern will be treated.
trace evaluation and production data, usage permissions, retention choices and provider settings. Resolve uncertainty about supplier training, service changes and access before making commitments to customers.
define evaluation, release approval, monitoring, incident handling and change review. A new language, retrieval source or tool permission can require a fresh decision even when the model name stays the same.
organise internal audit, management review and corrective action. Verify that changes address the underlying problem and retain evidence of the result.
Choose measures that expose weak decisions. Useful examples include unresolved deployment exceptions, failures by language, overdue supplier questions and incidents caused by unreviewed changes. Record the limitations of each measure. A high aggregate accuracy figure can conceal a poorly served group or an untested workflow.
The following scenarios are hypothetical illustrations, not client case studies.
An Indian software company pilots an assistant on English support tickets and then plans to offer Hindi and Tamil responses. The release team discovers that its successful pilot tested familiar account questions but few disputed refunds or mixed-language messages. Expanding availability without further evaluation would conceal a material change in intended use.
The product owner assembles separate test sets, asks competent reviewers to assess meaning and tone, and defines when the assistant must transfer a conversation to a person. Reviewers examine whether a correct policy answer becomes misleading when translated or combined with outdated account information. The release record states the languages and tasks supported, unresolved limitations and monitoring owner. Customer-facing claims follow that evidence instead of treating the pilot score as universal assurance.
A Bengaluru team prepares operational data and evaluates demand forecasts for its parent company. The parent controls the production platform, while local analysts can change feature definitions. A revised definition makes forecasts appear more accurate in testing but excludes a group of smaller distribution locations.
The AIMS programme maps the approval interface between the two entities. Analysts document the changed population, business reviewers examine the effect on smaller locations, and the parent decides whether the revised model may be released. Evidence includes the original comparison, disputed assumptions and the final decision. This creates an auditable account of shared responsibilities without claiming that the Indian team controls the entire platform.
Bring a representative AI inventory, organisation chart, supplier list and examples of recent releases to the initial discussion. Identify existing security, privacy or quality processes that might support the work. Reuse suitable approval and document-control arrangements, while adding the AI-specific decisions they do not yet cover.
The proposal should identify deliverables, specialist availability, delivery arrangements, client responsibilities and dependencies. Technical remediation and certification-body fees should be clear. Timing depends on the scope, current practices and evidence that must be established. Before external assessment, trace a sample deployment from its approved purpose through evaluation, operation and review; use the gaps found to prioritise remaining work.
Our guarantee applies to the agreed ISO certification engagement. Confirm its scope and terms in your proposal. The independent certification body conducts the audit and makes the certification decision.
Discuss your AI scopeYes. Start with the uses and responsibilities it controls, including procurement, configuration, staff use and oversight. Supplier evidence matters, but a provider’s assurances do not explain whether your particular deployment is appropriate.
No. Keep the legal assessment and its effective dates explicit. The AIMS can help organise ownership and evidence, but certification does not establish that every processing activity meets applicable Indian privacy requirements.
The scope should reflect its activities and interfaces with the wider group. Discuss the proposed boundary with the certification body and describe shared services accurately, particularly where approvals or infrastructure sit elsewhere.
Inventory quality, management involvement, evaluation gaps, supplier responses and necessary technical changes all affect the work. Build the schedule around agreed evidence milestones and review unresolved dependencies before committing to assessment dates.
An external certification body audits the management system and decides certification. ISO develops standards and does not issue certificates. Check the selected body’s competence and relevant accreditation scope. ISO explains certification roles.
Share the AI activities you want to cover, the entities involved and the customer or governance outcome you need. A high-level description is enough to begin. Request a scoping discussion or explore the ISO 42001 implementation service.
