AI scope and inventory
identify products, internal uses, suppliers, affected parties and organisational boundaries. Document who controls each important part of the deployment.
ISO/IEC 42001 establishes requirements for an AI management system. A useful implementation gives a Singapore organisation a consistent way to approve AI uses, assign responsibilities and examine results across its operations. CyberVantage360 can discuss an engagement that connects these decisions to operating evidence and preparation for independent certification.
An application that recommends products needs different checks from an agent permitted to place orders. Describe the business purpose, information used, affected people and actions the system can take. Identify the person accountable for accepting the deployment and the conditions that would cause it to be restricted or stopped.
For a regional headquarters in Singapore, map responsibilities across entities and markets. Central procurement may select the platform while country teams control customer communications and local deployment choices. Scope those interfaces explicitly. A group policy alone does not show whether a particular business unit follows it or whether all regional services fall within a certification boundary.
ISO/IEC 42001:2023 concerns the management system around AI activities. Evidence about product performance and the lawfulness of a deployment must address the particular system and context.
The PDPC’s Advisory Guidelines on use of Personal Data in AI Recommendation and Decision Systems address data used in development, information provided when seeking consent and the obligations of relevant third-party developers. They also discuss the conditions for applicable consent exceptions. The guidance supports analysis under the Personal Data Protection Act; it does not turn a technology purchase into permission to use any available data. PDPC AI guidance.
IMDA updated its Model AI Governance Framework for Agentic AI in May 2026. The framework addresses responsible deployment and human accountability, with additional material on third-party agents, multiple-agent arrangements and automation bias. It offers practical guidance that can inform control choices; it is distinct from ISO 42001 certification and from statutory duties. IMDA’s updated framework.
Keep a clear record of which obligations, contractual commitments and guidance apply to each deployment. Assign someone to review changes. Certification does not automatically establish PDPA compliance, approve a product or resolve obligations in another market.
The implementation plan should explain how teams will use the resulting processes. Link each deliverable to an owner, a decision and evidence of operation.
identify products, internal uses, suppliers, affected parties and organisational boundaries. Document who controls each important part of the deployment.
consider what can go wrong and who bears the consequences. Examine inappropriate recommendations, disclosure, unequal outcomes and unauthorised actions where relevant.
agree evaluation criteria, approval conditions, monitoring and change triggers. Record how a model update, new dataset or expanded permission changes the assessment.
define escalation, incident response, supplier communication and authority to pause a service. Give reviewers the information and time needed to challenge outputs.
organise internal audit, management review and corrective action. Examine whether the evidence supports the decisions being made.
A practical review should follow an actual change. Ask the owner to show its purpose, assessment, evaluation, approval and operating result. If those records contradict one another, resolve the discrepancy before adding more templates. Existing security and privacy controls may help, but AI-specific evaluation and oversight still need attention.
These scenarios are hypothetical and do not represent client engagements or measured results.
A regional distributor wants an agent to replenish packaging supplies for several business units. Supplier catalogues show similar products in different currencies and pack sizes. In testing, the agent chooses the lowest displayed price without recognising that one listing is for individual units and another is for cartons.
The purchasing owner first limits the agent to preparing a draft order. Reviewers compare the unit calculation, currency, delivery location and approved supplier record before authorising a purchase. The technical team records which systems the agent may access and tests the response to ambiguous catalogue data. A proposed increase in spending authority requires a fresh assessment.
The evidence connects the commercial error scenario to evaluation and approval. Regional teams also know who can stop the ordering workflow and how to continue manually. Management can judge whether automation is ready to expand using observed results rather than the agent’s apparent fluency.
A Singapore retailer plans a recommendation service using customer browsing and purchase histories. The project team initially combines data from several storefronts because the records share the same customer identifier. The privacy owner asks whether the proposed use and information provided to customers support that combination.
The team separates that question from model evaluation. Business reviewers also find that a successful overall conversion measure masks unsuitable recommendations for customers browsing in a second language. They revise the test population and inspect the effect of incomplete product attributes.
The deployment decision records the approved data sources, supported storefronts, evaluation limitations and monitoring responsibilities. If additional markets or sources are proposed, the team can identify which assumptions need reconsideration. A management-system certificate would not itself answer the data-use question or demonstrate recommendation quality.
Begin with your intended scope, a representative deployment and the outcome you need from the programme. Bring relevant supplier arrangements, release records and existing management-system processes. This helps distinguish work that is already effective from work that needs development or stronger evidence.
The proposal should confirm specialist availability, delivery arrangements, responsibilities, deliverables and acceptance criteria. Clarify technical remediation, client effort and separate certification-body charges. Avoid setting an assessment date solely around a sales deadline; consider the time needed to implement processes, observe their operation and resolve findings.
When comparing certification bodies, examine their relevant competence and accreditation scope, alongside commercial arrangements and scheduling. The independent assessment needs an accurate account of the activities covered. Claims made to customers should remain consistent with that boundary.
Our guarantee applies to the agreed ISO certification engagement. Confirm its scope and terms in your proposal. The independent certification body conducts the audit and makes the certification decision.
Discuss your AI scopeThey serve different purposes. IMDA guidance can inform practical governance choices; ISO 42001 certification assesses the scoped management system. Map useful guidance to your processes without presenting the two as interchangeable approvals.
No. Assess the relevant processing, purposes and legal requirements separately. The AIMS can help assign ownership and preserve decisions, but the certificate does not determine whether each use of personal data is permitted.
A shared programme is possible, but define which entities, activities and interfaces it covers. Regional governance should make local responsibilities visible, including decisions retained by individual businesses and dependencies on shared services.
Examine its authority, access, possible consequences and opportunities for intervention. Test realistic failures and define what requires human approval. A tool that previously produced text may need different safeguards before changing business records or committing resources.
The independent certification body conducts the certification assessment and decides the outcome. CyberVantage360’s agreed role concerns consulting and implementation support. ISO develops standards and does not issue certificates. ISO’s explanation of certification.
