Checkout, contact centre and branch operations

PCI DSS readiness for UK payment journeys.

An outsourced checkout can sit alongside telephone orders, branch terminals and refund tools that need separate attention. CyberVantage360 helps UK organisations map these payment journeys, define control ownership and prepare for the validation request behind an acquirer deadline or business change.

Define the engagement

Start where customers and staff actually handle payments.

Ask operations to demonstrate ordinary and exceptional journeys: a failed online payment, a customer calling to amend an order, a deposit taken at a branch and a refund approved by a supervisor. Follow the systems, recordings, notes and exports involved. These walkthroughs turn a broad assurance request into specific scope questions.

Review how channels connect. A central identity service, support workstation or management portal may influence several payment processes. Record those dependencies before describing a channel as isolated. Your action plan should name the system owner who can implement and verify each change.

United Kingdom context

Connect payment security with the UK's data-security duties.

The ICO explains that PCI DSS compliance is not necessarily equivalent to compliance with the UK GDPR’s security principle. It may consider relevant PCI DSS measures when examining a card-data breach.

For telephone and support channels, involve the privacy owner in decisions about recordings, access and retention. The PCI DSS project should accurately describe what is collected and how controls operate; it should not present payment validation as a general data-protection approval.

Agreed outputs

Commission a plan that operations can carry out.

The proposal selects the relevant work, acceptance criteria and client inputs from these deliverables.

01

Payment-channel scope record

A practical description of web, telephone and in-person flows, their shared systems and the suppliers involved. Record uncertainties and identify the people who can resolve them before settling the assessment boundary.

02

Assisted-payment control review

Examine the agreed recording, desktop, access and handoff processes. Convert findings into implementable actions, including staff instructions and checks that show the intended behaviour occurs during real operations.

03

Remediation and evidence schedule

Prioritise actions around supplier changes, business releases and internal capacity. Give each item a responsible owner, verification method and dependency. Distinguish missing records from controls that need technical or procedural correction.

04

Validation preparation summary

Organise the scope and evidence for the reporting route agreed with the recipient. Set out completed work, unresolved limitations and questions for the appointed assessor, rather than concealing an open issue behind a readiness label.

From scope to evidence

Resolve the hard questions before the submission date.

01

Clarify the request

Confirm the required validation method with the acquirer or payment brand. Compare that request with the current payment channels and any changes since the previous submission.

02

Verify the working process

Review system behaviour with the staff who operate it, including exception handling. Agree changes and evidence checks with technology and operations so a policy update is accompanied by the necessary implementation.

03

Prepare for review and recurrence

Assemble the evidence index and resolve outstanding questions. Assign ongoing checks to named business roles, then define when a new supplier, channel or workflow should trigger a fresh scope review.

Assessment and scanning roles

Keep consulting scope and assessment scope explicit.

Where the route requires a QSA, confirm the company’s current qualification and its assessment independence. Agree access to operational teams and records early.

Required ASV scans must use an approved vendor solution. Confirm scanning, remediation and any further testing as separate deliverables; they are not interchangeable evidence.

Illustrative decisions

Payment changes that deserve a closer look.

Hypothetical examples, not client case studies.

A UK travel business expands telephone sales

In this hypothetical example, a hosted checkout is already in place, but staff begin taking booking amendments by phone. Discovery follows the caller journey, recording configuration and payment entry method. The team identifies which previous assumptions no longer hold before reusing the earlier questionnaire selection.

A retailer changes its embedded checkout

A hypothetical UK retailer adds an embedded payment form and new analytics scripts. The review records who controls each page element, what the provider’s implementation instructions cover and how changes are approved. The reporting approach is reassessed against the actual integration rather than the provider’s brand name.

Optional enablement

Connect tools and learning to the agreed work.

If the engagement includes learning, confirm relevant Sterling Academy coverage for staff handling payments and escalations. If Effivity is considered for recurring actions, check its fit with your evidence and access requirements before committing to configuration or licences.

Questions before engagement

Resolve the scope before committing.

Does a payment provider make our website out of scope?

Do not assume that. PCI SSC confirms SAQ A ASV scanning applies to merchant webpages using redirects or embedded payment iframes. Review your complete environment and eligibility conditions.

Are redirects and embedded forms equivalent for SAQ A?

The script-related eligibility criterion applies to embedded payment pages, not the redirect-only arrangements described in the FAQ. Other eligibility conditions still matter. Inspect the actual integration before choosing a route.

Can call recordings affect the review?

Yes, include the recording behaviour in discovery. Establish what can be captured, who can access it and how exceptional calls are handled. The resulting actions must reflect the actual payment method and evidence rather than an assumed recording configuration.

Is there an official PCI DSS certificate?

PCI SSC does not recognise compliance certificates for validation. Use the applicable official reporting documents. Define the required output with the recipient.

Can you promise completion before our acquirer deadline?

A credible schedule needs the scope, gaps and dependencies first. Consulting can help structure the work, but remediation and external assessment may remain on the critical path. Agree milestones and escalate any risk to the requested date early.

How do we start without sharing sensitive records?

Send a summary of payment channels, providers, recent changes and the deadline or request. Explain whether staff take payments or handle refunds. Do not include card details or passwords; agree a secure evidence exchange after the scope discussion.
