Client responsibilities. Operational evidence.

PCI DSS readiness for Philippine payment and support operations.

A payment-handling contract can put Philippine support teams inside a customer's security boundary. CyberVantage360 helps BPOs, merchants and service providers clarify that boundary, prioritise improvements and prepare the evidence needed for the agreed PCI DSS validation route.

Define the engagement

Describe the service your team actually performs.

Begin with each client’s workflow: whether staff hear, enter, view or otherwise handle payment information, which systems they use and who administers them. Follow call transfers, screen access, quality review and incident escalation. A contract described as customer support can involve materially different payment-security responsibilities across accounts.

For merchants, map direct sales separately from outsourced support. For service providers, identify the services and environments included in the customer’s request. Avoid choosing a merchant self-assessment route simply because the end customer is a merchant. Resolve your organisation’s role and reporting expectations before defining completion.

Philippines context

Keep Philippine privacy accountability in the operating model.

The Philippine Data Privacy Act’s implementing rules address controller responsibility for personal data outsourced or transferred for processing, including internationally. Identify the controller, processor and contractual responsibilities for the actual service.

Use that role map to coordinate with the data protection officer on staff access, supplier arrangements and personal-data handling. PCI DSS readiness should make the payment-control evidence clear while privacy owners assess the separate obligations relevant to the Philippine operation and its customers.

Agreed outputs

Prepare evidence at the client-service boundary.

The proposal selects the relevant work, acceptance criteria and client inputs from these deliverables.

01

Account and workflow scope map

Describe the services, payment interactions and supporting technology for the accounts included. Identify shared desktops, identity systems and support functions that could connect apparently separate client environments.

02

Client responsibility matrix

Record what the customer operates, what your team operates and which provider supplies the evidence. Capture unresolved contract language and access limitations that could prevent a reliable readiness conclusion.

03

Operational remediation plan

Assign actions for the agreed desktop, access, recording, escalation and supplier processes. Specify how supervisors and technology owners will verify changes, including exceptional workflows and movement between client accounts.

04

Readiness evidence and handover

Organise records by the service and control they support. Prepare the open-issue summary, recipient questions and ongoing ownership arrangements. Identify any assessment, scanning or testing requiring separate qualified delivery.

From scope to evidence

Plan around mobilisation and changes in service.

01

Resolve the requested validation

Confirm the reporting route with the applicable payment brand or acquirer. Clarify the client’s additional contract requests and keep them identifiable in the scope.

02

Walk the account workflow

Bring operations, IT, security and the client owner into discovery. Review what happens during transfers, refunds, technical support and quality assurance. Convert uncertain practices into named questions and actions before promising a mobilisation date.

03

Verify before handover

Check the implemented process and evidence with the responsible teams. Record residual limitations and establish how new agents, changed customer instructions or remote-work arrangements will be assessed after launch.

Assessment and scanning roles

Keep delivery promises tied to confirmed arrangements.

Where a QSA assessment is required, verify the company’s current qualification and assessment independence. Name the consulting and assessment responsibilities separately in the engagement plan.

Required ASV scanning uses the approved vendor’s solution. Agree separate testing and assessment arrangements, client participation and evidence access before committing to the delivery plan.

Illustrative decisions

Two Philippine operating scenarios worth testing.

Hypothetical examples, not client case studies.

A Cebu BPO takes on a payment-support account

In this hypothetical mobilisation, a foreign merchant supplies the payment application while the BPO provides agents, desktops and call handling. Discovery separates those responsibilities and follows quality-review recordings and supervisor access. The proposal identifies the evidence each party must supply instead of relying entirely on the merchant’s existing report.

A Manila retailer extends support to remote staff

A hypothetical retailer keeps its online checkout unchanged but lets remote agents resolve order and refund queries. The review follows authentication, device access, screens and customer notes. It identifies whether the operating change affects the agreed boundary and assigns any corrective work before extending access more widely.

Optional enablement

Connect tools and learning to the agreed work.

If the scope includes staff learning, confirm relevant Sterling Academy coverage for the specific payment and escalation duties. Evaluate Effivity against account-level evidence ownership and access requirements before proposing configuration. Neither option substitutes for implemented controls or required assessment.

Questions before engagement

Resolve the scope before committing.

Can our client's PCI DSS report cover the BPO service?

Review exactly which services and responsibilities it includes. Your organisation may operate controls for desktops, access or call handling that need its own evidence. Resolve coverage with the client and the parties responsible for assessment rather than assuming inheritance.

Does a BPO use the same SAQ as its merchant client?

Do not assume so. Establish the service-provider role, payment activities and reporting instructions. The client’s payment architecture is relevant, but it does not automatically determine the validation documents appropriate to your own organisation.

Can we include remote agents?

Include the proposed arrangement in discovery. Review devices, access paths, payment interactions and supervision against the intended service boundary. The proposal should identify the work needed to support the arrangement rather than pre-approve remote payment handling.

Will successful consulting result in certification?

PCI SSC does not recognise compliance certificates as validation evidence. Use the applicable official documents. Consulting preparation cannot guarantee the assessor’s or recipient’s conclusion.

Can you commit an on-site team in Manila or Cebu now?

Location, personnel, availability and any third-party involvement must be confirmed in the proposal before engagement. Start with the operational scope and access requirements so the delivery arrangement can be specified accurately.

What helps scope a new customer contract?

Share the proposed services, client responsibilities, locations, working model and requested evidence or deadline. A sanitised workflow and responsibility list are useful. Do not send card data, customer records or credentials in the initial enquiry.
